What CareerApp does with your information, and with your clients' information.

Who we are

CareerApp is based in the United Kingdom. For anything in this policy, including any request about your own data, email [email protected] and a person will reply.

We are the data controller for information about you, our customer. For information about your clients, the relationship is the other way round – see “Your clients' information” below.

Information we hold about you

When you use CareerApp we hold:

  • Your name and email address, so you can sign in and we can contact you.
  • Your organisation's name and logo, so the documents you produce are branded as yours.
  • Your subscription status and billing history.
  • Basic technical information needed to keep the service running and to diagnose faults, such as error reports.

We hold this to provide the service you have signed up for, to meet our legal obligations around billing and accounting records, and to keep the service secure and working.

We never see or store your card details. Payments are handled by our payment provider, and your card information goes directly to them.

Your clients' information

CareerApp holds whatever you record, type or generate about your clients. That is your professional record, and you decide what goes into it.

In data protection terms you are the controller of your clients' personal data and we are your processor: we hold and process it in order to provide the service to you, and we act on your instructions. The details of that arrangement are set out in our terms of service.

It follows that it is you, not us, who is responsible for having a lawful basis to record and process your clients' information, and for telling them how it is used. CareerApp helps by prompting you to confirm your client's consent before each session is recorded, and by storing the date and time of that confirmation.

Recordings

The recording stays on your own device until the session is written up, then it's deleted. Only the transcript is kept.

In practice that means the audio is held in your own browser's storage on the device you recorded on. It is sent once for transcription and is not stored on our servers afterwards. If you would rather not record at all, you can type your notes instead and everything else works the same way.

How we use AI

CareerApp uses a leading frontier AI model to transcribe sessions and to draft the suggestions and documents you review.

Nothing you or your clients put into CareerApp is used to train AI models.

Everything the AI produces is a draft for you to check. It does not make decisions about your clients, and nothing it drafts reaches a client until you have reviewed it and chosen to share it.

Where your information is stored

Your information and your clients' records are stored on servers in the European Union. Transcription and drafting are carried out by an AI supplier in the United States, under the standard contractual clauses approved for transfers of this kind.

A small number of specialist third-party suppliers handle sign-in, payment processing, AI transcription and drafting, error monitoring, and hosting. Each receives only what it needs to do its job, and the full list is available on request.

How long we keep it

For as long as you have an account. If your subscription lapses or you cancel, your records are not deleted – you can still get to them, and we would encourage you to print or save anything you want to keep.

Your rights

You have the right to ask for a copy of the information we hold about you, to have it corrected, to have it deleted, to restrict how we use it, to object to how we use it, and to ask for a copy in a portable format.

Email [email protected] and we will deal with it. If you are unhappy with how we have handled a request, you can complain to the Information Commissioner's Office at ico.org.uk.

If one of your own clients asks you to produce or delete their information, you can do that yourself inside CareerApp. We will help if you need us to.

This website

This site sets no cookies, runs no analytics, and carries no advertising or tracking of any kind. There is nothing to consent to, which is why you were not asked. The app itself sets a single cookie to keep you signed in, and nothing else.

Changes to this policy

If we change anything that matters, we will update the date at the top of this page and tell existing customers by email.
